How to Work with a VA (Virtual Assistant)

Something that often comes up when I talk to clients is “well how do we do this or how do we get started?” When you hire a VA, first and foremost you need to be completely honest about what you are looking for, what your expectations are for them and how you work.

If you are totally organized and use certain systems and only those certain systems (such as Evernote, Email Marketing Providers, Canva, Asana, etc.) — that is GREAT but you need to be honest about that.

If you are a hot unorganized mess — that is GREAT too but your VA needs to know that so that they can help you to the best of their abilities.

Many clients look to VAs for ideas of what systems to use and how and that is fantastic but if you aren’t willing to learn these systems and would rather use your own, be upfront about that. If your VA isn’t willing to use your systems — they aren’t the right fit for your business.

Be clear about what your expectations around communication are. How soon you expect a response (or if you don’t know — ask what a typical response time is for them). Most VAs have multiple clients and if you are looking for someone who is going to be available for you whenever you need them, some VAs might not be the best fit.

Be honest with what your needs are and ask your VA if they will be able to meet those needs.


If you are unsure what your needs are (this also comes up) be honest about that. Most VAs will be able to give you ideas on how to make the most of your time working together. They may suggest ways to organize or systems to use to stay connected.

Honesty is the best policy when it comes to hiring a VA.

Another thing that is SUPER helpful when working with a VA is having a plan. Having a plan will help the VA to better use their time to better the efficiency of your business and help you to better your time which will maximize your business.

Last minute things come up — they always do and that is OKAY but everything you ask them to do shouldn’t be last minute. If you need help creating a plan so that your projects aren’t so last minute — ask your VA?! Let them help you create a plan for your business that will help both of you do your best!

Remember, that like you, most VAs have families and a life outside their business so they may not be able to be “working” all the time, treat them like you would like someone to treat you (isn’t that the golden rule for everything) and be open and honest about your needs and you will be able to form a long-lasting working relationship 🙂
